Job Description

The Administrative Assistant selected for this opportunity will gain key public sector experience that can effectively position you to pursue and obtain key, sought-after public sector jobs. We are looking for an Administrative Assistant that has 5+ years of experience in scheduling meetings, invoice processing, and proofreading to work hybrid (on-site and remote) and full-time (approximately 40 hours per week) in the Chino area. 

As a Project Administrative Assistant, your duties and responsibilities will include, but are not limited to:

  • Document processing – proofreading for accuracy, backup, and reviewing and adhering to policies and procedures; data entry of departmental databases and spreadsheets; ensure required deadlines are met.
  • Invoice processing – review for accuracy and proper backup; prepare and process purchase requisitions, purchase orders, and check request; run general budget reports through SAP.
  • Maintain project files and prepare documents for records management.
  • Schedule and set up conference calls and Teams meetings; prepare and distribute agendas and supporting documents; take and transcribe meeting minutes; set up and clean up.

Job Requirements

As a Project Administrative Assistant, you will have:

  • Required: Minimum of 5 years of progressively responsible experience in administrative support functions, including scheduling meetings, invoice processing, proofreading, and organization
  • Required: Advanced skills in Microsoft Suite and Accounting Software
  • Candidates must be legally authorized to work permanently in the U.S. (i.e., without time limitations, without restrictions or without need for work sponsorship in the U.S.)
  • Valid CA Driver’s License and proof of insurance
