Job Description

We are looking for a Executive Assistant that has 7+ years of experience in support for executive level management to work on-site and full-time (approximately 40 hours per week) in the Monrovia area. 

As an Executive Assistant, your duties and responsibilities will include, but are not limited to:

  • Provides high-level administrative and liaison support to the General Manager, Assistant General Manager, and Board of Directors.
  • Manages Board and committee meeting processes, including agenda preparation, legal noticing, meeting logistics, minutes, and records in compliance with the Brown Act.
  • Coordinates executive and Board calendars, meetings, travel, and confidential correspondence.
  • Oversee meeting follow-up, tracks actions, and compiles executive-level information and reports.
  • Ensures compliance with applicable laws related to Board governance, ethics, and elections.
  • Maintains official Board and executive web content, including agendas, minutes, and governance information.

Job Requirements

As an Executive Assistant, you will have:

  • At minimum, 7 years of experience performing highly complex, advanced support to executive level management. At least 2 years of experience serving in a capacity that supports an elected or nonprofit board of directors and/or General Manager/CEO.
  • Experience managing agency agenda materials, taking meeting minutes and transcription
  • Candidates must be legally authorized to work permanently in the U.S. (i.e., without time limitations, without restrictions or without need for work sponsorship in the U.S.)
  • Valid CA Driver’s License and proof of insurance
