Administrative Assistant
Job Description
We are looking for an Administrative Assistant that has 1+ years of experience of administrative support to work on-site and part-time (approximately 24 hours per week) in the Rancho Cucamonga area.
As an Administrative Assistant, your duties and responsibilities will include, but are not limited to:
- Coordinate and schedule meetings, prepare agendas, and support meeting logistics to ensure efficient and productive discussions.
- Assist with planning and organizing daily departmental operations, programs, and services.
- Provide high-level administrative support to management and assigned staff, handling a wide range of responsible and confidential tasks.
- Prepare and process purchase orders, review invoices, and coordinate payment processing in accordance with established procedures.
- Draft, format, and proofread a variety of documents—including memoranda, reports, financial documents, and technical materials—using word processing and related software; independently compose correspondence as needed.
- Maintain and manage calendars for assigned staff, coordinating meetings, events, and activities with internal departments, members of the public, and external agencies.
- Coordinate and process travel arrangements for conferences, seminars, and workshops attended by executive leadership and staff.
- Establish, organize, and maintain departmental filing and records management systems, including confidential and sensitive information.
- Operate and maintain standard office equipment and utilize a variety of computer applications and software programs to generate reports and support departmental operations.
Job Requirements
As an Administrative Assistant, you will have:
- High School Diploma or equivalent
- One (1) or more years of progressive administrative experience; experience in a government or public utility is desirable
- Experience with Computer operation and standard use of applicable software such as Microsoft Word, Excel, PowerPoint, desktop publishing, and related databases
- Candidates must be legally authorized to work permanently in the U.S. (i.e., without time limitations, without restrictions or without need for work sponsorship in the U.S.)
- Valid CA Driver’s License and proof of insurance
